Settrax Downstream Scheduling with an EMR
With the Settrax EMR integration feature update, we can connect to your hospital's OR schedule and automate hospital to vendor communication.
There are two ways to schedule with this feature:
- Upstream Scheduling - centered around your EMR surgery schedulers using your EMR scheduling application to communicate with your device vendors
- Downstream Scheduling - centered around your clinical coordinators using the Settrax application to communicate with your device vendors using your EMR data stream.
This tutorial will go over downstream scheduling
Downstream Scheduling is using the Settrax interface to complete a case in Settrax and notify the assigned vendor. This is primarily performed by perioperative surgery or instrument/implant coordinators.
The Process:
- Once logged into the Settrax the dashboard, you will click on t EMR Scheduling in the navigation pane.
- Select Pending Cases.
- Here will be every case that was scheduled in your EMR system but did not have a Vendor assigned to the case. The Settrax system parses all the data into the correct surgery fields so that all you will need to do is Assign Vendor to the case.
- Assign a vendor to a case by searching the vendor dropdown for the required device vendor. Once located and selected, hit save. This can also be performed as a bulk action.
With Downstream Scheduling you will also have the ability to filter all pending cases. Current filter options include:
- Surgeon
- Surgery Type
- Surgery Date & Time
- Patient Initials
The expand, sort, and filter actions are to help you schedule cases even faster.
As surgeons tend to use specific vendors for specific surgery types repeatedly, these sort and filter features allow you to filter down your results to cases that all use the same vendor. This gives you the freedom to bulk assign a vendor and schedule multiple cases at a time.
Once a case is assigned a vendor, that vendor will receive their case notifications immediately. If the case is on the Settrax schedule, then you can be assured that the rep has received his text and email notification. Additionally, once a case is assigned a vendor, all case updates or cancellations made on the EMR system side will automatically update in Settrax and notify the vendor accordingly.
